Keeping Several Dental License Renewals on One Calendar

A dentist licensed in three states can face three renewal cycles of one, two and three years, deadlines tied to a birth month in one state and a fixed date in another, plus separate cycles for sedation permits and DEA registrations. Here is how Florida, California, New York, Arizona, Minnesota, Virginia and Pennsylvania set their dates, and how to build one calendar that covers them.

Track every license, permit and registration on one calendar using each board's true expiration date. Florida renews dentists on a fixed February 28 even-year cycle, Arizona three years after your birth month, California permits every two years in your birth month, New York every three years, and Virginia annually. Permits and DEA registrations often run on separate cycles.

Missing a renewal in your main state is unlikely. Missing one in the state you visit twice a year is not. Multi-state dentists and hygienists hold licenses with different cycle lengths, different expiration logic and different continuing education windows, and each permit can run on its own clock. The fix is unglamorous: one calendar with every credential on it, and a reminder far enough ahead to finish CE and paperwork before the deadline.

How do states set renewal dates?

States use three basic approaches.

A fixed statewide date

  • Florida runs its biennium from March 1 to February 28 of even-numbered years, and an initial dental license expires February 28 of the following even-numbered year (Florida Board of Dentistry).
  • Pennsylvania's current dentist renewal period runs April 1, 2025 through March 31, 2027, according to the board's licensure snapshot.

Your birth month

  • Arizona licenses expire "thirty days after the licensee's birth month every third year," and the renewal application is due by the last day of the birth month (Ariz. Rev. Stat. § 32-1236(A)). First licenses are prorated to the next birth month.
  • California permits expire every two years on the last day of your birth month, in even or odd years matching your birth year, and the first permit term can be shorter than two years (Dental Board of California, citing Bus. & Prof. Code § 1715). The initial license fee is prorated by birth date (16 CCR § 1021).
  • New York adjusts registration periods so renewals fall in your birth month, which can make your first registration shorter than three years (NYSED continuing education Q&A).
  • Minnesota's initial professional development cycle ends on the last day of your birth month in the even or odd year matching your birth year, then runs in 24-month cycles (Minn. R. 3100.5100).

Annual renewal

  • Virginia requires continuing education "for each annual renewal of licensure" for dentists (18VAC60-21-250).

What else runs on its own cycle?

  • Sedation permits. California general anesthesia permits renew every two years for $325. New York's dental anesthesia certificate fee is paid every three years, and Illinois sedation permits renew for $300.
  • Hygienist anesthesia certificates. New York's local infiltration anesthesia and nitrous oxide certificate renews every three years for $25; Florida's local anesthesia certificate does not renew at all.
  • Assistant credentials. New York registered dental assistants renew every three years for $50.
  • Office permits. California's additional office permit renews every two years for $250.
  • Controlled substance registrations. DEA and state registrations have their own dates; see DEA and state controlled substance registrations.
  • Life support cards. Florida requires BLS or ACLS recertification every two years for anyone who administers anesthesia (Fla. Stat. § 466.017(4)), and permit renewals in many states ask for current cards.

Which steps build one calendar for all of it?

  1. Inventory every credential: each license, permit, certificate, registration and card, with its number and issuing agency.
  2. Record the true expiration date from the board's verification page, not from memory or the paper certificate.
  3. Add the CE window for each license and the mandatory topics due in that window. Our CE requirements post covers the differences.
  4. Set two reminders: one far enough ahead to finish CE (we suggest six months), and one when the renewal opens. California's sedation permit renewals, for instance, open in BreEZe about 90 days before expiration.
  5. Note late consequences: Arizona's 24-month reinstatement window with a $100 penalty, Illinois' restoration fee of $50 plus lapsed renewal fees, California's delinquency fee. See reinstating a lapsed license.
  6. Update after every change: a move, a new permit, a name change or a new office.

Do address and practice changes have deadlines too?

They are deadlines too. Arizona requires licensees to report a change of mailing or practice address in writing within ten days, with a $50 penalty for missing it and $100 after thirty days, and to notify the board within ten days of opening an additional office (A.R.S. § 32-1236). California charges $50 for a late change of practice registration (16 CCR § 1021). Put those obligations in the same calendar as renewals.

Can we keep the calendar for you?

Yes. Our Annual Renewal & CE Compliance service is $299 per license, per year. We build and maintain the calendar for each license and permit, track CE against every state's rule, send reminders, and prepare the renewal documents. You complete the courses, attest, pay the boards and submit each renewal. Groups can combine it with our DSO Multi-State Package; see license and permit compliance for DSOs. For payer credentials that also expire, our sister site explains expirables management.

Common questions

When do Florida dental licenses expire?
Florida's biennium runs March 1 to February 28 of even-numbered years, and an initial license expires February 28 of the following even-numbered year.
Why does my first renewal come early?
Several states align renewals to your birth month. Arizona, California and New York all prorate or shorten first periods so later renewals fall in your birth month.
Do sedation permits renew with the license?
Not always. California general anesthesia permits renew every two years on their own schedule, and New York's anesthesia certificate fee is paid every three years.
How far ahead should I start a renewal?
Early enough to finish any missing CE. We suggest a first reminder about six months out and a second when the renewal opens, which for California permits is about 90 days before expiration.
